Set up your event

Ten minutes in Settings gives every other module its vocabulary: the tracks submissions route by, the rooms the agenda schedules into, the formats with their default durations.

Settings (bottom of the sidebar) is a hub of cards — each one links to the surface where that piece is managed:

SectionWhat it covers
Event detailsName, dates, venue, timezone, and the public URL slug — edited from the event’s card on the Events page. The timezone drives every displayed time, from the agenda grid to public embeds.
OrganizationYour company name, logo, and contact details. The logo replaces the wordmark in the sidebar and brands outgoing email; the contact address becomes the default reply-to.
TracksThematic tracks, each with a color. Tracks do triple duty: submitters pick them on the CFP form, reviewers are routed by them, and the agenda color-codes by them.
RoomsThe venues sessions get scheduled into — name, capacity, and floor. Each becomes a column on the agenda grid.
Session formatsTalk, workshop, lightning… each with the default duration the agenda uses when a session is dropped onto the grid.
TeamEveryone with an organizer account — name, email, and role (owner, admin, or reviewer). Teammates are invited by email and sign in with a magic link; reviewers see only their review queue, not the admin.
Airtable syncThe connection badge shows at a glance whether the event is connected (and whether via the UI or env vars) — see Airtable sync.
Review rounds & reviewersA shortcut into evaluation plans: rounds, scoring scale, blind review, and track assignments.

A sensible setup order

  • Event details first — the slug becomes part of every public URL (/cfp/<slug>/…, /e/<slug>/…), so settle it before sharing links.
  • Tracks and formats before the form — the form builder’s track and format questions offer whatever exists here.
  • Rooms before scheduling — the agenda needs columns to drop sessions into. Capacities are shown on the grid as a sanity check.
